Overview
At Publicis Sapient, I worked with a Product Manager and another UX designer in an office wide hackathon and designed a Generative AI solution (similar to ChatGPT) that would allow new employees to access useful on-boarding resources easily.

The Challenge
Design a Generative AI solution for new hires that will support them in onboarding tasks
During the 48 hours window, our was tasked to define an idea that will utilize the approach similar to ChatGPT. When we began brainstorming for our project idea, our team first decided what are some of the existing challenges, and who should be our target audience. We decided to design a solution for new employees because they may feel overwhelmed and stressed navigating their new role.

Research
According to Gallup, “New employees typically take around 12 months to reach their full performance potential within a role.” We began by looking at the internal tools and analyzed how does a new hire find resources. We realized that the process is a bit overwhelming and by using Generative AI, the current onboarding process can be augmented and extended to improve employee experience and decrease the time it takes new hires to be fully productive.
For our solution, we defined the Value Proposition of our solution is that it will deliver personalized onboarding programs, job resources, and training recommendations to new hires and employees throughout their careers.

Problem Statement
After researching, our team defined our problem statement, which is as follows:
"Many new hires are often overwhelmed by the onboarding process and finding necessary resourcesdue to information and required tasks being spread across multiple unfamiliar systems and locations within those systems."

User Personas & Journey
Based on our problem statement, we identified and created a user persona and visualized their journey. For the sake of this project, we only focused on newly hired individuals; however, in the long term, we made sure that our solution is useful for any employee.

Design Solution
After understanding research and identifying the problem statement, our team came up with the following idea that we designed during the hackathon:
"A Generative AI tool that will be communicate in natural human language and will provide a personalized and engaging onboarding experience that addresses the unmet needs of new hires by providing trainings, resources, checklists, and many more features based on their role."

Our Approach
Our designed solution has the following key approaches:
Accessible
Visible like a chatbot icon on employee portal for easy access.

Personalized
​
Greets the employees with a customized welcome message that offers two options: to either browse through the most commonly used buttons for early-career professionals or type a personalized question.

Engaging
​
Engages the employees with its customized answers based on their role. This keeps the new employees invested in the onboarding process, and features such as, save prompts for future use, encourages ongoing engagement.
This will ensure that the new hires feel supported, valued, and motivated to succeed.

Gamification
As users interact with the system, they are rewarded with celebratory messages that mark their progress and encourage them to continue using the tool. Additionally, as user's complete tasks, they can check them off, giving them a sense of accomplishment and further motivating them to continue using the tool.

Reflection
Exposure to Generative AI Approach
Since Generative AI is a hot topic these days, working on an idea that is related to that helped me in understanding the wider benefit it will have on an organization. Although a lot needs to be considered from ethical viewpoint, Generative AI is going to get more popular in the coming days due to its ability to talk in a human way.

Future Direction
Due to the nature of working on this project in a hackathon, my team was not able to test with the real users. Therefore, in the future we would like to first interview users to understand their needs better and their thoughts on Generative AI and once the solution is designed, we will test it with real users and iterate the solution to make it as useful as possible. We will also consider understanding if our solution is accessible by everyone and what changes can we make to make it more intuitive.
